University of the West Indies, Cave Hill, Partners with Fujitsu to Deliver Expanded Online Services to Students and Faculty

TOKYO, May 15, 2009 - (ACN Newswire) - Fujitsu Caribbean today announced that it has been awarded a contract by the University of the West Indies, Cave Hill Campus to implement an automated system for accepting and distributing correspondence, student applications, research or committee papers and other documents of interest to the campus community.

Fujitsu will implement and deploy HP Trim Context, an industry-leading Electronic Document & Records Management System (EDRMS) solution. The project will commence with an initial pilot phase with a back-file conversion of records from previous years which will offer automated access to information previously available only in hardcopy format via manual retrieval processes. The implementation of the HP Trim Context solution will run parallel to the pilot and will provide the University with a robust information architecture to preserve all computer-based records of permanent value. Throughout the pilot phase, Fujitsu will assist the university to develop business processes to ensure the optimal benefit from the new system as well as the longevity and availability of its records. The Registry/Archives is the department charged with maintaining the university's records and will be the focal point of this implementation.

At the Cave Hill Campus, the project was born out of the increasing need for timely information access by a wide cross-section of researchers and administrators; further amplified by the ongoing expansion of faculties and curricula coupled with burgeoning student enrolment. "We required an efficient system to capture, store and manage our records and at the same time deliver faster, reliable access to information; to our students and faculty members. Fujitsu provided us with an end-to-end solution that will simplify the way we manage information over time" said Sharon Alexander-Gooding, Campus Records Manager; UWI, Cave Hill Campus. "We're a rapidly growing university with several initiatives underway. Once complete, we are confident that we will be able to deliver outstanding services to our students and faculty, while saving money and reducing administrative efforts. Beyond this intra-campus growth lies the potential to extend Records & Archives services to other sites in the University domain such as the faculties at St. Augustine (Trinidad) and Mona (Jamaica) as well as to public sector researchers like the ministries of regional governments", noted Jacqueline Wade, Campus Registrar, UWI, Cave Hill Campus.

The project commenced early April and is scheduled to be fully implemented by September 2009. Upon successful completion, the university will enjoy significant benefits from improved productivity and reduced response times, both of which elevate customer service levels and open new opportunities for service growth and diversification. The system will enable records management automation and facilitate efficiency improvements in related business processes. Secondly, it will enhance the security of records storage and retrieval; ensuring legal compliance to meet legislative and regulatory requirements as well as accountability for audit purposes.

Fujitsu's unique approach leverages the rich document management and archiving features of the industry-leading HP Trim Context software combined with technical proficiency, project management expertise, certified personnel and proven experience in the area of Enterprise Content Management.
